Job brief
We are seeking a Senior Executive Assistant to support the CEO and other senior management in a timely and professional manner. Provide high-quality administrative and clerical assistance to top-level executives in the marketing and advertising industry.
Responsibilities for this role are outlined below. To be successful, you should be proactive, meet deadlines and communicate effectively. Ultimately, you should be able to provide high quality assistance by identifying and proactively addressing the needs of senior managers and perform tasks to ensure our company’s workflow runs smoothly.


• Coordinate daily calendars of senior management
• Coordinate appointments and events
• Act as the point of contact between executives, employees/clients, and vendors
• Create regular reports and update internal databases
• Make travel arrangements
• Manage phone calls and emails
• Respond promptly to managers’ queries
• Facilitate internal communication (e.g. distribute information and schedule presentations)
• Suggest more efficient ways to run the office and troubleshoot malfunctions
• Review and recommend changes to our company policies


• Senior Executive Assistant, Executive Administrative Assistant or similar role for 5-7 years
• Knowledge of office procedures, Mac Platform
• Solid experience with office management systems, ERPs and MS Office: specifically, Excel, Powerpoint
or Google equivalents.
• Familiarity with online calendars and cloud systems
• Experience using office equipment
• Strong communication skills
• Experience exercising discretion and confidentiality with sensitive company information
• Excellent organizational skills
• High school degree; additional qualifications as Personal Assistant or Secretary are a plus
